Position Overview

This role provides exceptional executive support to the Founder/CEO. The ideal candidate is a self-starter who thrives in a fast-paced environment, can juggle multiple responsibilities, and ensures that both strategic projects and executive priorities are executed seamlessly. Responsibilities include managing projects across departments, overseeing sourcing and facility operations, coordinating executive scheduling, and streamlining internal processes. This position requires someone who is adaptable, detail-oriented, and skilled at driving deadlines forward while maintaining high standards of organization and efficiency.

Key Responsibilities


  • Executive calendar management, appointment scheduling, and meeting coordination.
  • Meeting and agenda preparation, note-taking, post-meeting follow-up, and action tracking.
  • Maintain and organize files, records, and databases, ensuring timely data entry.
  • Oversee daily office operations, including managing supplies and organization of space.
  • Serve as the first point of contact for internal and external communications, including phone and in-person inquiries.
  • Handle confidential correspondence, reports, and documents with discretion and professionalism.
  • Serve as a liaison between executives and internal/external stakeholders, representing the office of the CEO.
  • Organize travel itineraries, including booking flights, accommodations, and transportation.
  • Represent leadership professionally in emails, meetings, and public interactions.
  • Build and maintain strong relationships with vendors, partners, and stakeholders.
  • Leverage technology to enhance scheduling and organization.
  • Anticipate needs and proactively address potential issues before they arise.


Requirements & Qualifications


  • 3+ years of executive support experience.
  • Strong organizational and time management skills, with the ability to juggle multiple projects and meet deadlines.
  • Proven leadership and cross-functional collaboration experience, with the ability to coordinate across departments and stakeholders.
  • Excellent problem-solving and decision-making skills, with a proactive approach to identifying and resolving operational challenges.
  • High level of discretion and professionalism when handling confidential information and executive communications.
  • Proficiency in operational software, scheduling tools, and reporting systems to drive efficiency and optimization.
  • Ability to work independently in a fast-paced, evolving environment while maintaining attention to detail.
